1.How do I share a document?
Zoho Docs users can share multiple documents at once with an unlimited number of people. You can share either privately, which requires entering email addresses manually, or with a preformed group. You can also assign either read-only or read-and-edit permissions to the recipients.
To Share Documents to Individuals - Select the document from 'My folders' and click on the "Share" link present in the toolbar menu.
- A dialog box with heading "Share Document" appears on the screen.
- Select 'Private Share' tab and enter Zoho id/Email address of the recipient you want to share.
- Specify the access permission (Viewer/Collaborator/Co-Owner) for the shared document & click on the "Share" button.
- An email with the subject "Document Shared to You on Zoho Docs" will be sent to the recipient.
To Share Documents to Groups - Select the document from 'My folders' and click on the "Share" link present in the toolbar menu.
- A dialog box with heading "Share Document" appears on the screen.
- Click the 'Group Share' tab and select the group to share your document.
- Specify the access permission (Viewer or Collaborator) for the shared document & click on the "Share" button.
- An email with the subject "Document Shared to You on Zoho Docs" will be sent to each member in the group.
2. How do i share documents externally?
- Select the "Share Externally" option from the left side panel.
- Click on "Share Externally" from the right side corner of the page.
- A dialog box appears, select the documents and click on "Share Externally"option.
- Now enter email address of the recipient, create 'password' and set 'link' expiry duration.
- Click on the 'send' button, to send your document to the recipient.
3. How safe are my externally shared documents?
All the documents shared externally are password-protected, where you have to enter a password for the document. The external user you've shared the file with can access the document only if you reveal the password to him, once he sends a mail requesting you for the password from the mail-id you sent the document link to. Only on entering the correct password will the user be able to download and access the document.This way you will be able to know if the person you've shared the document is the one you want to have access to the document or not.
4. How do I Email-in documents to my Zoho Docs Account?
1. Get email address from Zoho Docs
http://docs.zoho.com - Click on Share Externally from left side panel.
- Select 'Email-in' option from right side corner of the page.
- It will display an email address.
2. Use the email address to email files directly into "My Folder" section of your Zoho Docs Account.
5. How do I see the files that I have shared?
In the left side panel tree of Zoho Docs, under Shared Docs folder click "Shared by me" folders. All the files shared by you will get listed.
6. How do I see the files that are shared to me?
In the left side panel tree of Zoho Docs, under Shared Docs folder click "Shared to me" folder. All the files shared to you will get listed.
7. How do I cancel sharing?
To cancel sharing an uploaded file follow these simple steps listed below:
- Select the file.
- Right click and select 'Properties' option from the drop down menu.
- A dialog box appears, click on 'Share details' tab.
- Shared details will be displayed, cancel sharing using the 'remove' option present beside each user.
8.Can i share files with non-Zoho users?
Yes, you can share files with others who are not part of the organization and who do not have a Zoho account, with the Share externally option. With this option you can share files using other their personal or other organization email ids to share documents and files.
To share files externally:
- Select the document from 'My folders' and click on the "Share" link present in the toolbar menu.
- A dialog box with heading "Share Document" appears on the screen.
- Select 'Share Externally' tab and enter the email address of the recipient you want to share it with
- Enter a password and confirm by re-entering it
- Select the number of days or hours in which time the link will expire
- Click on share. A link to the shared document will be sent to the recipients email id
9.How secure are the files that i share with non-Zoho users?
You can password protect your files that you share externally with others outside the organization. This will ensure that your files are secure and being accessed by the right person. On password-protecting your file the person with whom you have shared the file with can access it only on entering the correct password. They can get the password only through a mail request to you. Only if you give the password can they access the document.
